Privacy Policy

This policy describes what information we collect, how long we retain it, the conditions under which we share it, and your rights relative to your information.

Introduction

FUSE Facilitation is a division of Superheroes Academy Inc. We provide facilitation, coaching and related services in person and online (“Services”). During the course of our work we are required to collect information about our clients that is relevant to the Services we provide. This document describes the terms of use of our Services and what information we collect, how long we retain that information, the conditions under which we share information, and your rights relative to your information.

By using or accessing our Services in any manner, you acknowledge and agree to these terms. Please read them carefully.

Superheroes Academy Inc. also delivers certification training under the Superheroes Academy brand. If you are registering for a certification program, the Superheroes Academy privacy policy describes the additional handling that applies to certification bodies.

Terms of Use

FUSE Facilitation and its facilitators will not be responsible for lost profits, revenues, or data, financial losses or indirect, special, consequential, exemplary, or punitive damages.

In all cases, FUSE Facilitation, and its facilitators, suppliers and distributors, will not be liable for any loss or damage that is not reasonably foreseeable.

Choice of Law

This Policy will be interpreted under and governed by the laws of the Province of Alberta. By using our Services, you agree to submit to the exclusive jurisdiction of the courts of the Province of Alberta.

Why We Collect Information

We collect information from our clients for the purpose of:

  • ongoing communication with our clients
  • responding to enquiries, assessing fit, and preparing a proposal or statement of work when you ask for one
  • effectively providing our facilitation and coaching services, which includes (but is not limited to) conversations via email and online collaboration tools, session materials, and the recording of sessions where that has been agreed in advance
  • protecting the website, preventing abuse, and confirming that our forms are working

Data We Collect

To provide effective facilitation and coaching services in person and online we collect the following information about our clients:

  • organization name
  • name, email address and physical address (if provided) of the contact person or client using our Services
  • conversations conducted via email and online collaboration tools
  • session inputs, harvests, and recordings where recording has been agreed in advance
  • feedback and testimonials about our Services

Contact form and email

We receive your name, email address, and whatever you choose to tell us about your session or organization. We use it to reply, assess fit, and prepare a proposal or engagement when you ask for one. We do not add you to a mailing list from a contact enquiry. A marketing subscription requires separate consent.

Newsletter and downloads

When you ask for a resource or subscribe to our newsletter, we record your email address together with the consent statement you agreed to and the date you agreed to it, so that we can demonstrate the basis on which we are writing to you. Messages are delivered using our Google Workspace mail relay. You can unsubscribe at any time using the link in any message, or by emailing us.

Booking

If you book time with us using Calendly, the information you enter is also processed by that provider in order to schedule the meeting and avoid conflicts. You can avoid Calendly entirely and email us instead.

Live chat

If you use the chat widget on this site, Tawk processes the content you send and any contact details you choose to leave, so that we can reply. You can avoid the chat widget and email us instead.

Low-risk measurement

The site may create a random journey identifier and retain limited categories such as source, channel, country, language, device type, and pages viewed, so that we understand in aggregate how clients find us. We do not attach the text of your message to that measurement data. This site runs no advertising trackers and no third-party analytics suite. Do Not Track and Global Privacy Control signals turn our measurement off.

Session recordings and conversations conducted via online collaboration tools are restricted to FUSE facilitators and the participants in that particular engagement, and to the service providers we use to operate and improve our Services, acting on our instructions and subject to confidentiality and security obligations. We retain information only as long as it is necessary for the purposes described here, for our contractual and legal obligations, for security, and for resolving disputes.

FUSE Facilitation reserves the right to request permission from participants to use specific recordings or session photographs for the purposes of advertising, marketing or content creation. Only those whose names or images remain visible are required to provide their permission.

Use of AI Tools

We may use AI-assisted tools to help us deliver and improve our Services. Typical uses include summarizing notes, drafting or improving session materials, and analysing feedback to identify themes and opportunities to improve our work.

When we use AI tools:

  • We aim to share the minimum information needed for the task and, where practical, we de-identify information (for example, removing names or company identifiers).
  • We do not intentionally submit highly sensitive personal information (for example, government IDs or financial details).
  • We use reputable providers and take reasonable steps to ensure information is handled securely and confidentially.

Opt-out: If you prefer that your information not be processed using AI tools, email hello@fusefacilitation.ca and we will note your preference for future service delivery where reasonably possible.

Sharing Your Information

We do not share your personal information with companies, organizations or individuals outside of FUSE Facilitation except in the following situations:

For service delivery

We may share limited information with service providers that help us operate and improve our Services — for example communication platforms, scheduling, live chat, file storage, hosting, and AI-assisted tools. These providers process information on our instructions and for the purpose of providing services to FUSE Facilitation. Where available, we choose settings and agreements intended to prevent providers from using our submitted information to train their general models. Google Workspace, Calendly, Tawk and our hosting providers may process information outside Canada.

For coaching credentials

Where coaching forms part of an engagement, we may share only your name and email address with the International Coaching Federation (ICF) for the purpose of validating coaching hours for our coaches. The ICF may, at its discretion, contact you to verify our coaching hours.

With your consent

We may share only your name and email address with another facilitation, training or coaching provider at your request or with your permission. For example, when referring you to another provider who offers a service that may be of interest to you.

Cookies

This website does not set advertising or analytics cookies of its own, and we do not operate a third-party analytics suite on it. The live chat widget and the booking embed described above are provided by Tawk and Calendly, and those providers may set their own cookies or local storage when you use them. You may disable cookies in your web browser, though parts of the site may then fail to operate properly. Please refer to those providers’ privacy and cookie policies for more information about their own practices.

Your Information

The information we collect about you, our client, through the normal course of business is still your information. As such, you have the right to: request a copy of your information, request that your information be updated for accuracy, request that we no longer collect information from you, and request that we no longer retain your information. You may also withdraw a consent where the law allows it. Withdrawal does not change the lawfulness of a use already carried out, and it may limit our ability to reply or to carry out an engagement. The person acting as privacy officer for Superheroes Academy Inc., of which FUSE Facilitation is a division, can be reached at hello@fusefacilitation.ca. Use that address for any question, access request, or correction request.

Client Obligations

You are expected to uphold the terms of this privacy policy, even as it applies to your actions. You agree not to in any way make private conversations or recordings available publicly or to any persons outside of the engagement in which our Services were provided. This includes (but is not limited to) conversations in private channels or other private instant/text messages, email communications intended for a specific audience, and video or audio recordings of facilitation, training and coaching sessions or workshops.

Compliance and Cooperation With Regulators

We regularly review our Terms of Use and Privacy Policy and make every effort to process your information in ways that comply with this policy.
